A luxury wedding venue can exist for exactly 12 hours. Here’s what it takes to build one.
Guests arrive at an outdoor wedding and see a sailcloth tent glowing beneath string lights. Tables are set, champagne is cold, music is playing, and dinner comes out of the kitchen right on schedule.
What they don't see is the temporary electrical grid powering the lights. Or the refrigeration keeping hundreds of meals at safe temperatures. Or the flooring covering uneven ground. Or the climate-control equipment quietly keeping a tent full of people comfortable.
For a large wedding, festival, gala, or corporate event, creating a temporary venue can look surprisingly similar to constructing a miniature building—except crews may spend days building it, only to dismantle it within hours after the last guest leaves.
Behind every effortless event is an enormous amount of invisible infrastructure.
A field doesn't come with electrical outlets.
Large outdoor events may require temporary generators and power distribution systems capable of supporting lighting, sound equipment, catering operations, refrigeration, HVAC systems, bars, charging stations, and countless other electrical needs.
And it isn't simply a matter of bringing in a big generator. Event teams have to determine where power is needed, how equipment will connect to it, how cables can be safely routed, and what happens if the primary power source fails.
The goal is for guests to never think about electricity at all.
Serving dinner to several hundred people requires much more than setting up a few folding tables behind the tent.
Depending on the venue, caterers may need temporary cooking stations, prep areas, handwashing facilities, refrigeration, freezers, food storage, water access, waste disposal, and dedicated electrical or fuel sources.
Food also needs to remain within safe temperature ranges from the moment it arrives until the moment it reaches a guest's plate.
Suddenly, an empty field has a functioning commercial kitchen.
One of the easiest pieces of event infrastructure to overlook is directly beneath everyone's feet.
Grass, gravel, mud, and uneven terrain aren't ideal surfaces for dining tables, expensive sound equipment, or a dance floor full of guests in heels.
Temporary flooring can create stable surfaces throughout tents, kitchens, bars, walkways, and production areas. Organizers also have to consider drainage. A rainstorm earlier in the week can completely change ground conditions even if the event itself takes place beneath blue skies.
Water needs somewhere to go, and preferably not underneath the dance floor.
Bathrooms need plumbing or servicing. Bars need water, ice, refrigeration, and drainage. Vendors need reliable access to unload equipment.
Modern events increasingly need dependable Wi-Fi for point-of-sale systems, ticketing, production teams, vendors, livestreams, and guests.
All of these systems have to coexist without becoming part of the visual experience.
That means hiding cables, positioning generators away from guest areas, creating service corridors, planning vendor entrances, concealing waste collection, and determining how staff can move food, drinks, equipment, and supplies without constantly crossing the guest experience.
The best infrastructure is often the infrastructure nobody notices.
A large event tent can look remarkably similar to a permanent venue once it's decorated—but environmentally, it's a completely different challenge.
Sunlight heats the structure. Hundreds of guests generate body heat. Lighting, catering equipment, and electronics add more. Sidewalls may protect against weather while simultaneously reducing natural airflow. On a cold evening, the problem reverses.
That's why temporary event HVAC and tent climate control become part of the infrastructure plan. Depending on the season and conditions, temporary heating or air conditioning can help maintain a comfortable environment inside a structure that wasn't designed with permanent mechanical systems.
Like electricity or flooring, climate control works best when it's incorporated into the event design rather than added after guests become uncomfortable.
One of the most impressive parts of a large-scale event is how much work happens before a single guest arrives.
For more intricate events, setup may begin days in advance. Tent and flooring crews might arrive first, followed by power and climate-control equipment. Lighting teams need time to rig fixtures. Production crews install sound and audiovisual equipment. Caterers establish kitchens and service areas. Decor teams may spend hours or days installing florals, draping, furniture, signage, staging, and custom details.
The more elaborate the décor, lighting, and layout, the longer that transformation can take. And because every vendor depends on something another team has installed, much of the process has to happen in a carefully coordinated sequence.
Then, after days of work and a few hours of celebration, the process reverses.
Flowers come down. Tables disappear. Lighting is packed into cases. HVAC equipment is disconnected. Flooring is removed. Generators are loaded onto trucks. What took days to construct can often be dismantled and loaded out within hours.
For one evening, an empty field, estate lawn, parking lot, or other open space can have electricity, kitchens, refrigeration, bathrooms, flooring, internet, lighting, sound, heating or cooling, and enough infrastructure to comfortably support hundreds or thousands of people.
By the next day, there may be almost no evidence it existed.
